This job description serves to define all tasks to be completed as well as duties to be performed by the individual that has been appointed to the following position

 

Job Title

Contracts Specialist/Manager

Reporting to

General Manager 

 

Position Summary

 

Ensure sustainability all projects by ensuring that all contractual, financial, strategic, critical and other facilities as defined by the Customer meet business as well as contractual needs.

 

Responsible for supporting the group business development strategy, identifying and maximising new business opportunities

 

 

Key Accountabilities / Principal Responsibilities

 

Ensure contractual success of projects

·          Attend to and monitor contractual issues

·          Monitor profitability and risk

 

Contractual Strategy and Management

·          Resolve claims and legal disputes.

·          Ensure the development of client and supplier contract                            compliance activities

·          Define the broad contract requirements and principles for

            supplier contracts (together with Procurement)

·          Engage with different customer groups on a senior level to

            monitor and ensure contractual compliance

·          Determine the impact of their requirements on existing SLA's and applicable agreements

·          Ensure strategies, mechanisms and guidelines are developed that would govern the development and maintenance of short, medium and long term budgets for the associated contracts

·          Ensure compliance with the operational budget (short and

           medium term)

·          Ensure strategies, mechanisms and guidelines exist to identify             the applicable statutory guidelines and compliance

·          Support the Key Account Managers in ensuring contract                            success and profitability

 

Cost and Risk Management

·          Ensure consistency of project financial reporting by developing              appropriate cost breakdown tools and techniques.

·          Manage cost elements in contracts and perform project audits               as and when required

·          Develop, support and measure value added planning aimed at             improving profitability.

·          Identify contractual, legal and commercial risks

·          Put in place risk mitigation strategies

 

Business Support

·          Offer support to other departments to ensure that the                                 company’s strategic targets are met

·          Provide assistance and support to finance and procurement for             budgeting, quotes, forecasting, variance analysis and                              benchmarking.

·          Support Procurement function in relation to placement of                         subcontractor contracts by providing adviceand support in                       negotiations 

·          Provide strategic analysis and insight to support the General                 Managers decision making process

·          Provide commercial management oversight within all business             development activities to ensure maximum commercial                         effectiveness

 

Business Development

·          Develop strong market knowledge of existing and potential                    clients, and keep the company  informed of business growth                 opportunities aligned to strategic objectives

·          Provide in-depth analysis of markets, industry trends,                              competitors and clients to improve strategic planning and                       decision making

·          Develop and implement relationship strategies to maximise                    opportunities for securing new business

·          Identify new / future services that would provide the company                  with a competitive advantage or profitability.

·          Lead bid teams and develop bid documents at a consistently                high standard

 

Customer, Community and Markets

·          Represent the company when meeting with customers,                          stakeholders and end users, in order to enhance the company               reputation and foster a partnership approach to relationships                 throughout each contract

·          Lead customer service excellence and continuous                                    improvement culture, so that the business remains at the                      leading edge of service delivery and value

·  Maintain and develop strong relationships with clients and other stakeholders to secure the necessary support for the efficient performance of hard and soft service operations and maintenance

 

Leadership

·  Meet the key performance areas according to the targets agreed upon in the areas of management of the client and contractor interface

·    Influence and engage with all business areas to ensure contract retention and business sustainability

 

Financial Management

· Monitor the commercial elements of the contract and support the General Manager and Key Account Managers to achieve their targets and profitability

·  Ensure effective financial management is in place to achieve turnover, profit and to meet  legal requirements

 

 

Key Skills and Experience

 

·  Grade 12

·  Must have a Degree, or hold a professional qualification in Facilities Management / Business Management/Contract Management/Construction Management

· Minimum 8 year experience at senior management level, preferably in hard and soft FM services, with at least 5 years Contract Management experience

· Must have extensive experience in managing large, multi-million rand projects from a legal, contractual, commercial, risk and financial perspective

· Previous working experience at a senior level in a similar capacity

·  Must have managed resources and Sub Consultants

· Must have working experience with managing budgets, including costs and profitability

·   Advance computer skills (Advanced Excel essential) including presentation material

 

People and Management Skill

·  Strong leadership qualities and a confident decision maker

·   Possesses the drive to oversee and take ownership of the activities of the business

·          Must be a respected leader, and have the ability to work closely and in partnership with the clients and company’s group senior management to ensure mutual success of both organizations and longevity of the contract relationship

·  Excellent interpersonal skills in working with multicultural teams across all levels, with focus on tact, diplomacy and rapport building

·  Highly effective communicate effectively in both written and verbal form

·  Committed to professional and ethical values and standards

·  Analytical reasoning ability and capable of making fast informed decisions on complex matters to ensure the continuity of service to the clients facilities

· Excellent financial, commercial, risk, contractual, business development and HR acumen to support the improvement of business performance
