Projects Administrator

MAIN PURPOSE

  • Assist the Projects team efficiently control inward/outward flow of documentation
  • To record and date all documents. Manage and control the Projects archives
  • To assist both external/internal customers with document related queries
  • To manage and update the project document registers - VDRL
  • Ensure all technical submissions meet company and the customers’ specifications
  • Ensure that all Projects are logged in terms of the departments procedures

DUTIES AND RESPONSIBILITIES

  • Loading, tracking and maintenance of the Primary Project VDRL document
  • Tracking of suppliers VDRL against primary VDRL
  • Assist with accurate and timorous compilation of IOM’s and Data packs for each Project
  • Generate or download documentation for the Project
  • Prepare and present documentation for each Project to Projects Engineer for approval
  • Proactively follow up on outstanding documentation and and advise suppliers/customers
  • Ensure that documentation on the server/local files reflect updated status of the Project
  • Assist, compile and issue a Bi-weekly status reports on the VDRL
  • General management of all documentation related matters for new and existing contracts
  • Aid the Commercial Administrator in the creation of Purchase Orders
  • Ensure all files and procedures are in line with ISO requirements.
  • Consistently monitor documentation deliverables for multiple contracts and alert of potential issues on projects where poor documentation delivery and control is posing a threat to the success of the Project.

Other:

  • Continuously improve internal systems and procedures
  • The position has direct contact with customers, the Document Controller will be required to assist and take ownership of customers documentation related queries
  • Share knowledge and learn from others

QUALIFICATIONS AND EXPERIENCE

  • Matric
  • A recognized administration qualification is an advantage
  • Three (3) years’ work experience, with experience in a similar position being preferred
  • Computer literacy, proficient in Microsoft Office software (Word, Excel, MS Projects, Outlook and Power point).
  • Knowledge of a document controlling system
  • Knowledge of the SYSPRO and AutoCAD system is an advantage
  • Knowledge of the customer VDRL system is an advantage
